Job Description
What you'll do As the right hand to the IPT Head, you will deliver seamless executive support, drive administrative excellence, and ensure smooth departmental operations with precision, discretion, and impact.
Your responsibilities Manage complex agendas, including calendars, meetings, official travel, and communications (calls and emails). Act as a trusted point of contact, handling interactions with internal and external stakeholders with professionalism and tact. Draft and review official correspondence, reports, minutes, procedures, and presentations. Handle sensitive information with the utmost confidentiality, ensuring full compliance with CERN rules and procedures. Organise and coordinate meetings and events, and key administrative processes. Supervise and mentor an administrative assistant within the IPT Head Office. As Departmental Admnistrative Officer(DAO), welcome and support a diverse population (staff, graduates, students, visitors etc.) upon their arrival at CERN. Provide guidance on organisational rules and ensuring their correct application. Support administrative processes related to budgets, projects, and personnel movements (arrivals and departures).
Your profile Demonstrated experience in the field of personal assistance at a top management level. Demonstrated experience in handling sensitive information with tact, discretion, sensitivity and confidentiality. Proven experience in organising meetings and events. Bachelor's Degree or equivalent relevant experience in the field of Business Administration for personal assistant or a related field

Adapts quickly and resourcefully to shifting priorities and requirements. Ensures that information, procedures and decisions are appropriately documented.
